About Rabota.ru

Rabota.ru is one of Russia’s largest job seekers platform, part of the Sber’s ecosystem, used by over 20 million job seekers and 750.000 companies. Rabota’s main goal is to become the #1 job search hub in Russia.

Stepan Tulchinsky is the Lead System Administrator responsible for choosing Rabota’s tech stack, including internal and external communications apps to be used by its 450 employees and its large job seekers’ community.

Challenge

Finding a communications platform compliant with the Russian Federal Law on Personal Data

With over 250.000 jobs posted on their website and monthly training sessions and admission tests, data compliance with personal data regulations has always been vitally important for Rabota.ru.

That didn’t change with the arrival of the Russian Federal Law on Personal Data (No. 152-FZ). When the law was introduced, Slack was Rabota’s primary tool for their 450 employees to communicate and collaborate. 

However, as the law requires companies to process and store customers’ data within Russia – only achievable if the company can self-host its technology tools – using Slack, MS Teams or any cloud-based software was no longer an option for the company. 

They needed a flexible solution with self-managed deployment that enabled them to control their ecosystem. That’s when Stepan looked for tools to replace Slack, including Skype for Business and Mattermost. Stepan’s team didn’t like the lack of software flexibility and how complicated implementing such tools could be. 

After extensive research with open-source alternatives, they found that only Rocket.Chat was capable of offering the self-managed, highly secure deployment needed and an easy-to-use software interface.

Microsoft Teams and Slack weren’t an option for us because they didn’t offer the level of data protection we needed to be compliant with the Russian protection law. We needed a highly secure communications platform.

In a short time, Rocket.Chat has bridged the gap for data privacy needed by Rabota.ru to comply with Law No. 152, ensuring maximum data protection and collaborative communication. 

Rabota’s employees completely switched from email to solely using Rocket.Chat due to its modern messaging features – private and public teams, channels, threads, and discussions. 

Now, projects and teams are centralized in one organized messaging workspace, which simplified information management since they use a single platform to handle public announcements and requests to the IT team.

They also leveraged Rocket.Chat’s comprehensive webhooks to create workflows to monitor, handle data requests, automate tasks on Jira and  GitLab, and send reminders to users about all sorts of topics.

UniComm, a key Rocket.Chat partner based in Russia, played a significant role in helping with necessary information and documentation to sign the contract with Rocket.Chat. UniComm is very close to Rabota.ru to provide them support, based on their expertise on Rocket.Chat.

Results

Increased data protection and 10x faster issue resolutions with modern DevOps features

The main result achieved by Rabota.ru was significantly increasing their data protection – not only because of Rocket.Chat's transparent and open-source code, but also due to its open API that enabled teams to automate tasks and be more productive.

Nowadays, Rabota.ru creates and deploys custom apps that help them encrypt and protect its data, such as a tailored Data Loss Prevention (DLP) app that integrates with Rocket.Chat.  

The app ensures that Rabota’s security team is warned to examine the content when private or personal data is shared on chats to ensure that sensitive information is properly managed. 

By integrating Rocket.Chat with its service desk system, IT teams can tackle problems 10x faster through Rocket.Chat than with other conventional technologies. 

Instead of sending emails, users post their topics on a public channel monitored by Stepan’s team. Right away, custom bots turn the messages with reported issues into open Jira tickets to be handled by the technical experts.

Faster communications led Rabota’s staff to move away from emails and substantially adopt Rocket.Chat — 466 employees use the platform nowadays. 

As for the next steps, Stepan and his team plan to increase the number of employees using Rocket.Chat to 500 and expand the platform scope to be their leading omnichannel customer engagement platform as well.

Thanks to Rocket.Chat’s DevOps features, we speeded our business process by 10x, reducing human error significantly – all thanks to notifications from the monitoring system and connection to Service Desk systems.
